Get to know the Expend web app and your Inbox

With the Expend web app, you can manage your expenses anywhere you have access to a web browser. Simply go to app.expend.io and log in with your Expend account details. You'll see all your new transactions and documents, as well as draft expenses not yet submitted in the Inbox.

As a user with the Member role within your company, here is an overview of what you can do on the web app.

Sidebar menu

Go to the left of the page to open the sidebar menu and access all areas of the web app. Click the button in the top left corner to keep the menu open.

Actions

At the top of the page, there are some shortcuts to useful functions, such as creating expense claims or mileage claims, adding documents, or switching organisations (if you belong to more than one Expend organisation).

Inbox

This is where you get all your new transactions and documents, as well as draft expenses not yet submitted. When you pay for a transaction using your Expend card, an expense will automatically be created and added here, and you can then complete the expense report for it.

Note the search bar at the top of the Inbox: you can use this to search by supplier, member or date. Below that, the Sort and Filter buttons provide further options to refine your search.

Outstanding Cash

The top of the sidebar menu shows all of your outstanding cash balances – also those in different currencies if you’ve withdrawn cash overseas. Click on a balance to quickly start reporting a cash expense.

Workspace

In addition to the Inbox, there are separate pages for Expenses, Transactions and Documents. These pages are useful for finding items that you have already submitted (and that are therefore no longer shown in the Inbox)

Notice the Filter button in the top right corner of each page – you can use thus to help you find a specific item. Click the Filter button, set the parameters of your search, and them click Apply, or click Reset to start over.

Also notice the ⿲ (Additional Columns) button at the top right of the list of items. Click this to choose which columns to show.

Cards & Payments

Expend Cards

This page shows the Expend card that your company has provided to you. Take note of the following:

  • The amount under Available to spend tells you how much is currently available – you won't be able to exceed this amount. Depending on the spending policy set for your card, the amount may reset at the start of the day or week. But note that it also depends on the funds available to your company as a whole (in the company “float” account).

  • Click the settings wheel icon to access the Card Security Settings page where can control some of the types of transactions your card can be used for, as well as lock/unlock your card. For more details, see Card security.

Connected Cards

You can connect your business payment card to Expend to automatically import all new transactions, and then create expenses from those transactions in a few simple steps. See the following article: Using your business card with Expend

Personal Payment Methods

If you frequently use a personal payment card or bank account to pay for company expenses, you can a define an external (non-Expend card) payment method that you specify when creating your expenses. See the following article: Personal Payment Methods

Manage

Reporting

You can export your expenses and view the following reports:

  • Expense claims owed to me: A report of all your expense claims that have been approved but not yet been marked as reimbursed to you

  • Your mileage summary: A report of your personal mileage claims

Me

Go to this area if you need to accept an invite, edit your profile and personal details, add or edit vehicles that you use for mileage claims, and – if you like – recommend Expend to someone who you think may find it useful.
