How to remove a member from your organisation

If a member is leaving your organisation, follow these steps to remove their access. Please note the following:

  • To remove a member, you need the Admin role.

  • If someone with with the Admin role needs to be removed, please contact our Customer Service team with details by clicking the chat button in the bottom right corner.

  • As part of the process, the member’s Expend card will be closed.

Archiving a member

If the member has a Classic Card, which holds a balance, first ensure that the card's balance is 0.00. For more details, see the following: Returning money to the float account

  1. Open the sidebar menu, go to MANAGE, click Users, and select Members.

  2. Go to the user and click Manage on the right.

  3. Click Archive Member.

  4. In the pop-up that opens, please read the information that is shown.

  5. At the bottom of the pop-up, type the text that is shown and confirm.

When you have completed the steps:

  • Any Expend cards held by the user are closed, connected cards are removed, and the user is archived.

  • When the member that has been archived logs in, they will no longer have access to their transactions, expenses, or any other details related to the Expend card provided to them by your organisation.

  • None of their expense data will be removed. Admins and reviewers still have acess to all of this data.

Reactivating a member

An archived member can be reactivated if necessary. Please contact our Customer Service team with details by clicking the chat button in the bottom right corner.
